Terms & Conditions

Please read these Terms & Conditions carefully before registering for the conference. By registering or participating in the conference, you agree to the following terms.

1. Acceptance of Terms: These Terms & Conditions apply to all participants, including speakers, poster presenters, delegates, students, exhibitors, sponsors, and virtual attendees. By completing your registration, you agree to comply with these terms.

2. Registration & Payment:

  • Payments can be made securely through online payment gateways (such as PayPal or Stripe) or by bank transfer.
  • Any bank charges, transfer fees, or payment processing fees are the responsibility of the participant.
  • Registration is confirmed only after full payment has been received.

3. Cancellation & Refund:

  • Cancellation requests must be submitted by email to the Conference Secretariat.
  • Cancellations made more than 90 days before the conference start date are eligible for a refund after deducting a USD 100 administrative fee. Cancellations made at least 60 days prior to the conference start date are eligible for a 50% refund of the registration fee.
  • Cancellations received within 90 days of the conference are non-refundable.
  • Registration may be transferred to another participant or a future edition of the conference if requested before the conference begins.
  • Approved refunds will be processed after the conference.


4. Force Majeure:
The organizers are not responsible for delays, postponements, or cancellation of the conference due to circumstances beyond their control, including natural disasters, severe weather, pandemics, government restrictions, travel bans, war, terrorism, civil unrest, strikes, power failures, or technical disruptions. If the conference is postponed or rescheduled because of these events, registration fees will be transferred to the new event or a future conference. Refunds will not be provided in these circumstances.

5. Changes to the Conference

The organizing committee reserves the right to:

  • Update the conference program or schedule
  • Change speakers or session topics
  • Modify the venue or conference location
  • Change the event format (in-person, virtual, or hybrid) if necessary


Any important updates will be shared by email and published on the conference website.

6. Travel & Accommodation:

  • Participants are responsible for arranging their own travel, accommodation, visas, and insurance unless otherwise stated.
  • Hotel recommendations may be provided for convenience, but participants are free to choose their preferred accommodation.
  • The organizers are not responsible for travel or hotel expenses resulting from schedule changes or cancellations.

7. Code of Conduct:

We are committed to providing a welcoming, professional, and respectful environment for everyone.

All participants are expected to:

  • Treat others with courtesy and respect.
  • Maintain professional behavior throughout the event.
  • Avoid harassment, discrimination, or disruptive conduct.

The organizers reserve the right to remove any participant who violates these guidelines without a refund.

8. Limitation of Liability:

The organizing committee is not responsible for:

  • Personal injury, illness, or accidents during the conference.
  • Loss, theft, or damage of personal belongings.
  • Travel, accommodation, or other expenses resulting from event changes beyond our control.


9. Photography & Media:
During the conference, photographs and videos may be taken for promotional and educational purposes. By attending the conference, you agree that your image or voice may appear on our website, social media channels, or future promotional materials. If you prefer not to be photographed or recorded, please notify the organizers before the conference.

10. Privacy: Your personal information will be used only for conference registration, communication, certificate preparation, and event management. We do not sell or share your personal information with third parties except when required for payment processing, event operations, or by law.

11. Conference Updates: Participants are responsible for checking their email and the official conference website for announcements regarding the conference schedule, venue, or other important updates.
